SafetyDetectives recently spoke with Cesare Cinelli, the founder of MemoMail, to dive into the story behind this innovative communication platform. Born out of a need within his web agency, BASE315, MemoMail was created in 2020 to automate service expiration reminders, streamlining the manual process of notifying clients about crucial deadlines. What started as an internal solution quickly grew into a versatile tool catering to various industries, from web agencies and IT professionals to accountants and schools. In our conversation, Cesare shared insights into MemoMail’s evolution, its unique approach to business communication automation, and how it’s helping companies save time, minimize errors, and improve client relationships.

Can you share the story behind MemoMail? What inspired you to create a platform focused on automating business communication?

MemoMail was created in 2020 to solve an internal problem of our Web Agency BASE315, that is, to notify customers about the expiration of their services.

Our need was to simplify the manual management related to sending notifications, especially those related to the expiration of essential services, such as domains, email and PEC, websites, hosting, plug-in licenses, and more. Practically speaking, this meant sending dozens and dozens of emails a day that a colleague took care of, thus taking up a good part of her time.

In order to find a solution to this waste of resources, i searched the market for a software or a system that would allow to automate the sending of reminders or notifications, but not finding anything that met this need, i discussed the issue with a friend, Luca Vernini a database expert, with whom the idea of trying directly to develop a dedicated service was born.

Together we quickly realized that reminder automation was not only a need for web agencies, but also for other professional categories. So, since we had to develop the software for our own agency, I thought we could also distribute it externally to those who, like us, had the same kind of need.

At this point, one of the most difficult challenges was to search for the right people to work with to implement the service. The first experiments with some colleagues were unsuccessful, but after a year the final working team was formed, consisting of myself, my friend Luca Vernini, Bruno Rossi, a system engineer, Thomas Brandoli, a programmer, and Elena Scabini, project manager at BASE315.

So the first developments started, and in 2022 the beta version was ready, which we distributed to the first customers. In the following years we consolidated the structure of the software, fixed some bugs, and the service began to be used by several clients, who still use it today.

The project continued to grow and in addition to the Italian language, an English language version was also made available. To date, Portuguese and Spanish have also been included.

The path that led to the creation of MemoMail was the result of a personal need that later evolved into a broader goal: to help companies work faster and more efficiently. Today it is an established tool born from a self-funded project that continues to grow and improve.

How has MemoMail evolved since its launch, and what key challenges did you face while developing it?

We are a recent and constantly evolving business. We are integrating new features but always keeping as a reference point the initial idea that guided us: our application must be simple and easy to develop.

Over the past two years we have focused particularly on perfecting the message programming system, which to date offers a simple programming mode and a more advanced one through the use of shortcodes.

These two modes provide users with complete freedom in choosing how often a message repeats. While in the initial setting repetition could only be annual, monthly, weekly, and daily, it is now possible to give the message endless possibilities.

Regarding the challenges, it hasn’t been easy getting to this point, but the company is currently stable.

Perhaps the initial phase was the most complicated, when we had the idea, but to bring it to life, we had to establish a solid team and test the appropriate technologies to develop the tool.

In this, my friend and Team member, Bruno Rossi, was of great help.

The project has been fully funded by our team and by BASE315, which will continue to support it and make it grow. The absence of external investors allows us the freedom to act as we see fit and solve the problems in the market.

MemoMail is a dynamic tool that evolves according to the demands and needs of the clients who use it, which are the core element of our evolution.

With businesses increasingly relying on automation, what sets MemoMail apart from other email automation solutions?

There are many email automation services available, but ours stands out due to its unique functionality.

MemoMail is not an email marketing tool created to manage and automate promotional messages. Instead, it’s a system that allows you to send alert or reminder messages to a list of recipients.

The uniqueness of this tool lies precisely in its functionality, and the only way to understand it is to try it out.

Our service offers user list management and scheduling features that enable repetitive message sending, minimizing errors and saving valuable time.

In addition, messages can be customized with the use of shortcodes, allowing you to create precise and targeted communications, adapting to the specific needs of each recipient.

Furthermore, the multichannel approach being developed will make the management of business communications even more comprehensive and versatile.

Our goal is to become a leader in the field of reminder messages and service expiration notices, offering innovative, intuitive and customizable solutions.

Data security and compliance are major concerns for businesses today. How does MemoMail ensure the security and privacy of user communications?

Data security and user privacy were top priorities in the design of MemoMail. We understand that companies must protect sensitive information and comply with regulations, so we adopt strict security standards to ensure all communications are handled securely.

First, our platform uses encrypted connections (SSL/TLS) to protect all communications with users, preventing data from being intercepted during the transfer. We also implement secure authentication systems to protect access to accounts and sensitive data.

In terms of data protection, we have adopted advanced backup and redundancy solutions to ensure service continuity and the security of information stored.

User data is stored in data centers that comply with international security standards, which follow best practices for protection against unauthorized access and external threats.

In terms of regulatory compliance, our system complies with the latest laws and regulations, such as GDPR for Europe, to ensure that all personal information is handled properly. We also provide users with the tools to express their privacy preferences and ensure transparency in data management practices.

What types of professionals and businesses benefit most from MemoMail, and how does your platform simplify their workflows?

MemoMail is a platform designed to meet the needs of various professionals and companies that need to manage reminders and deadlines, so not only web agencies, but also IT technicians, accountants, associations, insurers, doctors, mechanics, and even schools.

Its versatility thus allows it to adapt to various needs, simplifying communication management efficiently.

The main features designed and offered to achieve this purpose are:

  • Message Models that allow all recurring messages to be saved so that they are ready to send when needed
  • Shortcode elements that enable message customization, so that it is unique to each user on the list
  • User Lists Users can create specific groups based on shared characteristics, such as service type.
  • Sending Scheduling allows users to set up sending at specific dates and times, with options for daily, weekly, monthly or annual repetition. You can also take advantage of the advanced mode that allows you to define custom intervals for more precise management of deadlines.

These features help companies save time, minimize errors and delays, and most importantly, invest in the quality of customer relationships.

What’s next for MemoMail? Are there any upcoming features or innovations users should look forward to?

Our vision aims to support companies around the world to speed up their communication processes.

We are developing a multichannel strategy, which will allow messages to be sent not only by e-mail but also through other messaging platforms, thus expanding the options for communications.

At the same time, we are simplifying the documentation for our API so that we can easily integrate our engine with other management systems. In addition, we are also working to integrate the service on some CMSs via plugins.

With a global reach, we plan to expand the service offering, making it available in French and German as well.

If I had to describe the future of MemoMail, I would say that it will continue to evolve while maintaining a clear focus on the customer. It will be a journey aimed at ensuring efficiency, simplicity, and maximum satisfaction for those using the service.
